Responsibilities:

  • Process semi-monthly payroll for US and Canadian employees, ensuring that it is accurate and that all established deadlines are met. Ensure compliance to all Federal, Provincial and State payroll legislation.
  • Assist employees with payroll related inquires. Process special payroll runs including annual bonus runs. Ensure that all payments issued outside of payroll are included in year-end totals.
  • Research discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
  • Responsible for all remittances and reports associated with the payroll function.
  • Responsible for the maintenance of the company’s Payroll/HRIS system. Ensure that system upgrades are implemented, and that all data is accurate and up-to-date.
  • Responsible for providing management and approved employees with appropriate system access and for generating reports upon request.
  • First point of contact for management and employees on payroll related support.
  • Maintain the integrity and confidentiality of personnel files. Ensure that filing is completed regularly. Where appropriate electronic files should be maintained.
  • Prepare journal entries related to payroll and benefits. Work with accounting to ensure GL codes are set up appropriately in system and that costs are accounted for accordingly.
  • Responsible for planning and processing all year-end related requirements, including calculating and processing yearend adjustments, processing of the final tax run, distribution of revised payroll and Stat Holiday calendar, T2200 forms, W2’s, T4’s, RL1’s etc…
  • Process billings relative to provincial medical programs, garnishments, Workers Compensation, benefit programs, and pension plan.
  • Provide new employees with on-boarding following the check-list developed for this purpose.
  • Prepare monthly and annual WSIB reconciliation, ensuring compliance.
  • Provide headcount and turnover reports to VP, Finance and VP, HR on a monthly basis
  • Reconciliation and reporting of head count in accordance with head office requirements

 

 Requirements:

  • University degree in Accounting, Business, or Finance is preferred.
  • Minimum of 5-7 years’ experience in payroll processing.
  • Completion of Payroll Administration Certificate- Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) certification
  • Previous experience with ADP payroll and HRIS as asset (ADP Workforce Now- Canada – USA)
  • Strong knowledge of payroll systems, internal controls, and management.
  • Advanced proficiency with accounting software and payroll programs and applications.
  • Experience in managing the processing of salaries, bonuses, commissions, and other forms of compensation.
  • Knowledge of audits, income tax forms, health benefits programs, sick pay, retirement plans, and so on.
  • Good knowledge of accounting, general/bought/sales ledger, journal entries, and bookkeeping experience.
  • Ability to prepare ad hoc reports using Microsoft Excel.
  • Effective attention to detail and a high degree of accuracy.
  • Strong working knowledge of accounting procedures, payroll processing principles and applicable legislation/regulations;
  • Excellent communication skills, including written and verbal
  • Ability to work under limited supervision using standardized practices and/or methods;
  • Experience in preparing account reconciliations and preparing journal entries
